Multi Civil Contractors Ltd's Managing Director Jim Ginty is responsible for Contractual Management

He ensures that all works being undertaken on the site are being carried out according to the requirements of the contract documents. Communications between the client’s representative and the Contract Manager will generally be through meetings; and records of these communications will follow a written or minuted format.

Regular meetings will be held between Contract Management and Supervisory staff where instructions, both written and verbal, will be issued to project and supervisory staff. Incoming and outgoing correspondence is logged and given a sequential number. No contractual instructions are given or received unless in writing.A photographic record of key construction activities will be kept to support future claim requirements. The day-to-day management and on-site decisions are the responsibility of the Site Supervisor who has overall control of the work site. This Supervisor also has onsite staff, plus subcontractors reporting, directly to him. Materials are established on the site through the Supervisor with assistance from Contracts Manager. Daily site diaries recorded by the Site Supervisor list all resourced and imported materials on the project. The detail includes total labour hours and total machine hours.

Contractual reporting is done through single point of contact, and to the head contractor or client. This is generally carried out as a result of:

  • Structured site meetings established at the commencement of the project to satisfy the contract documentation for reporting procedures.
  • Through exception reporting of issues as they arise on site.

Liaison may be handled at differing levels depending on the issues and implications. For example, day-to-day contractual issues will be handled by the Supervisor. Issues relating to environmental or landowner may be handled by the Contracts Manager / Managing Director. Multi Civil Contractors Ltd is not currently ISO 9002 accredited but is actively pursuing this to be achieved by early 2018, Multi Civil Contractors Ltd operate under a Quality Assurance Check List System. Multi Civil Contractors Ltd has a commitment to performing all aspects of operations in a manner that will ensure that clients receive quality products and services which conform in all respects to their requirements. Adopting a 'right first time' philosophy will increase both efficiency and customer satisfaction, thus enhancing our position in the market place. To achieve this, we have implemented a quality management system that has operated under the auspices of Hawkins Group Ltd, Fletcher Construction Ltd, Brian Perry Civil Ltd, and Aquaheat Industries Ltd who are all ISO 9002 accredited. All staff are encouraged to understand and recognize the benefits of the quality system, and actively support the implementation of this system.
